Financial Management

  • Pay association expenses promptly and accurately

  • Process mail and other correspondence related to the Association

  • Prepare and send statements to homeowners

  • Maintain detailed and accurate accounting records

  • Receive and process payments from owners and manage delinquent accounts

  • Reconcile all bank accounts monthly

  • Manage and fund reserve accounts according to the approved budget

  • Prepare financial statements for Board meetings, including Balance Sheet, Income & Expense Sheet, Aging Delinquency, Aged Payables, and Bank Statements with Reconciliation

  • Develop and manage the annual budget with board collaboration

  • Handle all accounts payable and receivable

  • Prepare necessary documents to file tax returns for tax accountant

Compliance & Governance

  • Prepare and send appropriate notices for non-compliance issues according to the Association's Fine Policy and other governing documents

  • Facilitate and execute the collection of delinquent assessments per the Association's Collection Policy

  • Work with legal counsel when necessary for collections or any other legal matters

  • Attend Annual Meeting as a key advisor and facilitator

  • Prepare an Annual Budget in collaboration with the Board

  • Prepare and distribute Board packets, including financial reports, agendas, and any other necessary materials, no less than 2 business days before meetings

  • Prepare and mail appropriate notices and meeting packets for the community's Annual Meeting

Communication & Support

  • Act as the primary point of contact for owners, providing support and addressing concerns

  • Serve as the liaison for Title Companies, Vendors, and Real Estate Agents, and Homeowners

  • Handle document requests from homeowners and third parties

Maintenance & Vendor Management

  • Coordinate the maintenance of the Common Area and Limited Common Area with board collaboration

  • Ensure appropriate insurance coverage is in place for the Association

  • Work with vendors and board members to schedule and oversee maintenance of the Association

  • Maintain and coordinate updates for a community portal
